Canned responses is a useful feature, hidden in the “Advanced” settings menu on Gmail’s desktop interface. These are predetermined and designed responses to common, frequently asked questions. Thus, it is quick and convenient for both the customer and you. It lets you save multiple messages to reuse whenever you need to compose an e-mail. So, you save your time, and your customer receives a quick response to a question.
You create a generic e-mail. It is a template for anything that you’ve found yourself sending multiple times via e-mails. It may be an answer to a question, but it may also be a standard confirmation letter — anything you want. So once you set it up, you can send it to many recipients. Hence, you’ll no longer have to write the same e-mail for the thousandth time.
Follow the instruction below.

1. Log in to your Gmail account.
2. Click the gear icon on the right top of the screen and select Settings.
3. Go to the Labs menu.
4. Find the Canned Responses option and enable it.
Then, click compose as you want to write a new e-mail. Type any message you’d like to save as a canned response.
Find the arrow at the bottom right of the window, and click it. From the menu that appears, select Canned Responses > New canned response. Lastly, give a name for the canned response you’ve just composed and push OK.
So, here it is! You are ready to reply to the same question over and over again, but this time with no effort.
Next time you receive an e-mail, click the respond button like you usually do. Instead of typing text, use the arrow at the bottom right to select your canned response. It will appear in a window, and all you have to do is to send it. Consequently, you’ve just saved your time, and your customer received a rapid response. We told you… canned responses rock!
